# Data Use Policy

This policy is for clients. It explains exactly what happens to the photographs and property details you send us. In short: we use them only to do your work, we never use them to train AI models without your explicit written permission, and you can ask us to delete them.

## 1. What this policy covers

It covers your materials: photographs, floor plans, property facts, brand assets and instructions. It also covers everything we produce from them. The [Privacy Policy](https://revia.vorbtech.com.ng/legal/privacy) covers personal data about you as a contact.

## 2. How we use your materials

We scan every file for malware when it arrives and refuse any that fail. iPhone HEIC photographs are converted to JPEG, which leaves their location data behind. We use your materials only to:

- produce, check and deliver the work you ordered;

- answer your questions and handle revisions;

- keep the records we need for billing and legal purposes.

We do not sell your materials. We do not publish them or use them in our marketing without your written permission.

## 3. AI processing and training

Producing your work can involve sending a file or text to an AI provider, which returns a generated result. A person at Revia then reviews it.

We do not use your materials to train AI models, and we do not allow a provider to do so, unless you give explicit written permission. We only use a provider for client files where its terms support this. The terms must also cover how long the provider keeps data.

We send providers only what each task needs.

## 4. Please remove personal details before sending

Property photographs can reveal more than a room. Before sending files, please remove or tell us about:

- people, especially children, and family photographs;

- documents, screens and mail;

- number plates and security details such as alarm panels;

- anything else that identifies an occupant.

Do not send title documents, identity documents or payment card details through our creative channels. If we notice personal details in a file, we may ask you to replace it.

If occupants or owners are involved, you are responsible for having their permission or another lawful basis.

## 5. Who can access your materials

Only Revia team members working on your order and the providers needed to deliver it can access them. Those providers fall into these categories: AI image and text processing, file storage and hosting, email, and WhatsApp. They work under written terms.

The current provider list is available on request. Business clients will be told when a new processor is engaged, as the [Data Processing Terms](https://revia.vorbtech.com.ng/legal/data-processing) explain.

## 6. Where your materials are processed

Some providers process data outside Nigeria. The [Privacy Policy](https://revia.vorbtech.com.ng/legal/privacy) explains the basis we rely on for those transfers.

## 7. How long we keep your materials

 | Your original files and working files | 12 months after delivery |
 | Final approved files | 12 months after delivery, so you can ask for them again |
 | Invoices and contracts | 6 years |

You can ask us to delete your files sooner. We will do so without undue delay, except for records the law requires us to keep. Copies in backups and at providers expire on their own schedules.

## 8. WhatsApp

WhatsApp is convenient, but it is a third-party service with its own terms. It also compresses images. For full-quality files, we will give you another way to send them.

## 9. Samples on this website

Before and after images, explorable 3D views and sample videos on this website are samples created by Revia using AI tools. They do not show client properties. Sample property details are invented for illustration.
